We offer full-charge bookkeeping services through the internal financial statements. For our bookkeeping clients, we also offer traditional administrative services – you name it, we can find a way to help you – or refer you to someone that can.
Our most common question is “how does that work in a virtual environment?” The answer is that it can work in many different ways, but for most of our clients (who use QuickBooks), it looks something like this:
For clients in the Austin, Texas area, we send a courier every week or two, based on need. Our clients outside of Austin, and most of our clients are, use regular postal mail. Some clients prefer to scan, fedex, email or fax their documents to us. We even maintain several local post office boxes where we receive mail directly on our clients’ behalf. Most of our clients prefer to just have us log into their bank accounts and update it directly from there. Most banks will allow you to have a login for your bookkeeper that is separate and has less options. How this works is based on each client’s needs and preferences.
Client Quickbooks files are kept on a secure server using our software. We also upgrade the QB software regularly at our cost. Hosting on our own server allows multiple users (both us and our clients) to be in the software at the same time. It also cuts eliminates the need for sending files back and forth or concerns about who has the most recent version.
We do not keep hard copies of client documents. Some clients prefer that we handle all the filing and house their files, in a paperless format, in our offices. Paperless clients receive a CD with their files and documents upon request. For clients who prefer paper, we process their documents and return the paperwork to them on a regular basis.
We are MICR-capable! Checks can be written from our office and forwarded to our clients for review and signature. Checks can be customized any time and check stock is included in our services. Many clients prefer that we pay their bills using their bank’s online bill payment system and have eliminated the need for checks altogether.
We also provide complete payroll services. We handle all of the subscription costs as well. You will, however, be responsible for direct deposit fees (around $3 per employee check) should you decide to use that service. We also take care of scheduling your payroll tax payments and all filings. Note: We do not handle all payroll situations and we may refer you to another payroll service.
Once you sign up with OffAssist, you will be assigned an account manager who will help maintain your accounts on a regular basis. Depending on the size of your account and your particular needs, your account will be updated on a daily, weekly, bi-weekly or monthly basis. We will work with you to ensure you are satisfied through the process. We have clients that are small work-at-home moms designing jewelry and we have large corporate clients, however we strive for each client to feel like they are our only client.
